Grant Guidelines FAQs

The Mathile Family Foundation does not prohibit any organization from applying for a grant, but a member of the program staff would be glad to discuss your eligibility in advance to save you time.

What are the dates and deadlines for responsive/quarterly grant applications?

- Organizations must submit an application for the current quarter by the application deadline or within the one-day grace period.
- Applications submitted after 5 p.m. during the one-day grace period will be held for consideration during the following quarter.
- Mailed hard-copy applications must be postmarked on or before the one-day grace period in order to be considered for the current quarter.
- If it must be mailed, supporting documentation for online applications must be postmarked on or before the one-day grace period in order to be considered for the current quarter.
- The online application form will close at 5 p.m. during the one-day grace period and will reopen one week later for applications for the following quarter.
- Although applicants will not be penalized for submitting applications close to the deadline, the Mathile Family Foundation urges organizations to apply in a timely fashion in order to allow the staff adequate time to fully consider their applications.
How can our organization submit a letter of inquiry for review by the program staff?
The Mathile Family Foundation recommends the use of a letter of inquiry for organizations who have yet to receive funding. The Foundation accepts letters of inquiry to gain insight into programs or projects that fit our mission. This information helps us to determine whether a full application should be submitted. The Foundation does not prevent any organization from submitting a full application, but submitting a letter of inquiry may save you time and resources. Yes. If you do not click the "Save & Finish Later" button at the bottom of the page (and create an account with your e-mail and password, if not already created) before closing the application window, information previously entered cannot be retrieved. If you have an existing account, you must click the "Update" button at the bottom of the page in order to save information you have entered. For this reason, the Mathile Family Foundation recommends that you create an account immediately when applying for the first time, frequently click the "Update" button in order to save information you have entered, and keep a separate copy (e.g., a Word document) of all application information for your records in case of technical problems.
No. You need to create an account only once. You will receive an e-mail confirming your e-mail address and password, along with a link to the My Account/Log In screen. You may log in using the same account each time you wish to submit an online application, view past applications, or edit current applications that have not yet been submitted.
I forgot the password for my account. Is there any way it can be retrieved?
Yes. Go to the My Account/Log In page and click on "Forgot your password? Click here." You will be prompted to enter your e-mail address in order to have your password reminder forwarded to you by e-mail.
May I start the online application and return to it later?
Yes. You may start your online application, save it, and return later in order to continue working on it. If you are applying for the first time, you will be asked to create an account using your e-mail address and a password. You must create an account in order to save your application. This process will take you out of the online application. Shortly thereafter, you should receive an e-mail confirming your password and providing a link to your saved application.
May I print a copy of my application?
Yes. You may print a "printer-friendly" HTML version of your application at any time by clicking "Printer-Friendly Version" at the top of the page. You may also review and/or print your completed application before submitting it by clicking "Review My Application" at the top of the page.
No. The Mathile Family Foundation cannot make grants to organizations that have not received official 501(c)(3) status.
No. The Mathile Family Foundation is able to grant only to 501(c)(3) organizations. If you think your organization is eligible for funding, but it has been placed under a different nonprofit status by the IRS, please contact Angela Hayes at (937) 264-4607.

Supporting documentation can also be faxed to (937) 264-7878. Please include your organization's name, address, and project name in all correspondence, and indicate that you have submitted an online application. Supporting documentation can also be e-mailed to .
Is there a budget template for project and organizational budgets?
No. Please create and provide your own itemized budgets in a Word or Excel document.
May I make changes to my online application after it has been submitted?
No. Once you have submitted an application, you can view it by logging back into your account, but you cannot make any changes to it. If major problems, changes, or concerns arise, please contact Angela Hayes at (937) 264-4607.
How may I find out the status of my application?
All applicants will be notified by e-mail when their applications are received by the Mathile Family Foundation. The entire grant process can take up to 70 days from the application deadline each quarter.
The application form is closed for one week (seven days) after the one-day grace period each quarter. The form will then open again for applications for the following quarter.

May I submit more than one application in a quarter/funding cycle?
No. If you have multiple programs for which you are seeking funding, then you must complete a single application to cover them and submit it for consideration in one quarter/funding cycle per year.
No. It is the policy of the Mathile Family Foundation to accept only one application per year (i.e. four quarters following the date of the last application) from any organization, except in extreme cases. In addition, all requirements of the program staff, including the receipt of a final report, must be fulfilled before an organization will be considered for any further funding.
No, absolutely not. Please include a note with your application stating that your organization does not file the IRS990 because it generates income of less than $25,000 annually. You may send an annual report, audited financial statements, and organizational budget in place of the IRS990.
Does the Mathile Family Foundation award grants to organizations based outside the United States?
With the exception of a few very special cases, the Mathile Family Foundation does not grant to organizations outside the United States.
May I publicly acknowledge a responsive/quarterly grant received from the Mathile Family Foundation?
The Mathile Family Foundation does not seek public acknowledgment for our support. However, if you are considering any public recognition of the grant, please contact Bonnie Baker at (937) 264-4806 for our guidelines and approval.
